Shared Fleets

Motor pools without the key chase

Vehicles get used, returned, and accounted for, with a record of every access.

Drivers unlock assigned vehicles from their phone.

Per-driver digital keys

Access starts and ends with the booking, automatically.

What Changes

What your fleet gets out of it

No lost keys

Nothing physical to lose, copy, or forget in a pocket.

Higher utilization

Easy access means shared vehicles actually get shared.

Instant revocation

Pull a driver's access the moment a booking ends or a role changes, with no physical key to chase down.

Three Ways Into The Vehicle

Phone, card, or command center

Geotab Keyless opens the same vehicle three ways, and most fleets end up using all three.

Phone, over Bluetooth

Offline-first by design: the digital key works in a parking garage or a dead zone, no signal required at the vehicle.

NFC tap card

For crews who should not need a personal phone to start a shift, a high-security NFC tag on a lanyard taps the windshield reader and the doors open. Purpose-built secure credentials, not ordinary driver-ID fobs.

Remote command

Dispatch can unlock, lock, enable, or disable the starter over the data network from MyGeotab. Wrong vehicle returned to the wrong lot? Fixed from a desk.

It is the backbone of keyless operations for car rental and municipal motor pools alike.

On The Record

Every unlock is an entry

Who opened which vehicle, when, and on which credential, logged against the booking.

Where The Key Actually Goes

The hardware behind the magic

Nothing here is improvised: the vehicle's own OEM key rides inside a secured IOX device wired to the GO9. Geotab engineers Keyless toward roughly 99.9% access reliability (a design goal, not an SLA), and after an unlock the driver has about 10 minutes to press start or re-tap, so a vehicle never sits unlocked and idle.

IOX-Keyless embeds the fob for the widest range of models, and it is the unit we specify for municipal and public-sector motor pools. IOX-Keybox, which keeps the original key recoverable, is available for commercial fleets only and is not offered to North American public sector. We match the unit to your vehicle list before ordering.

Start with Keyless Lite

Keyless Lite is a no-additional-fee, Bluetooth-only add-in inside Geotab Drive: on-demand lock and unlock for equipped vehicles, no reservation system required. It is the honest way to prove keyless works for your crews before you invest in full booking integration.

When you outgrow it, reservation-based sharing comes via integrated Marketplace partners, which is how most production Keyless fleets run.

A closer look

How the phone becomes the key

Shared vehicles work when access is digital: granted remotely, logged completely, revoked instantly.

Time-bound keys

The booking sets the schedule: keys switch on and off on their own, so no one files a return or walks a fob back to a cabinet.

Motor pool sharing

One pool of vehicles, many authorized drivers, and no dedicated key assigned to any one person.

Secure credentials

Access rides on Geotab's platform encryption and role controls, not a shared lockbox code.

Questions

Keyless access FAQ

What is keyless access for fleets?

Digital keys and controlled vehicle access for shared vehicles and motor pools, managed from the platform.

Who is it for?

Rental, car-share, municipal motor pools, and any operation sharing vehicles across many drivers.

Does it track who used a vehicle?

Yes. Access events tie to trips, so you know who had the vehicle and when.

What happens if a driver's phone dies?

The NFC tap card is the standard backup, and dispatch can unlock the vehicle remotely from MyGeotab. Three access paths exist precisely so no single dead battery strands a crew.

Does keyless work without cell coverage?

Yes. Phone access runs over Bluetooth and is offline-first, so underground garages and rural yards are not a problem. Remote commands from dispatch do require the vehicle's data connection.

Can we try it before rolling it out?

Yes. Start with Keyless Lite, covered above, and add reservation software once the pilot proves it.
